What separates a gift that gets used from one that gets stored
Across programmes, five things predict whether an office gift survives past the first month.
Daily-use frequency. If the item is not touched at least three times a week, it becomes clutter. Bottles, bags, notebooks and hoodies clear this bar. Paperweights, keychains, plaques and branded diaries in odd sizes do not.
Branding restraint. A small tone-on-tone logo on a bottle base or a bag zip pull travels everywhere. A full-panel logo across the front of a hoodie stays inside the building. Recall goes up when the branding is quiet, because the item leaves the office.
Quality floor over item count. One ₹900 flask beats a ₹900 box holding five ₹180 items. Employees judge the weakest item in a hamper, not the average.
Fit and personalisation. Apparel needs a full size run and a size-collection form. Anything engraved with a name, joining date or team lifts perceived value far more than the ₹40–₹120 the personalisation costs.

Tax, GST and compliance — what HR and finance must get right
The ₹5,000 rule. Under Rule 3(7)(iv) of the Income-tax Rules, the value of gifts, vouchers or tokens given by an employer to an employee is exempt from perquisite tax up to ₹5,000 in aggregate per employee per financial year. Cross it and the entire excess becomes a taxable perquisite added to salary. Track the running total across Diwali, birthdays, milestones and awards — most breaches happen because three teams gift independently.
Cash and gift cards. Cash and cash-equivalents are fully taxable as salary with no ₹5,000 relief. Non-cash vouchers do fall within the ₹5,000 exemption.
GST rates by HSN. Apparel HSN 6109/6110 at 5% (below ₹1,000) or 12%; drinkware HSN 7323/9617 at 18%; notebooks HSN 4820 at 18%; pens HSN 9608 at 18%; bags HSN 4202 at 18%; electronics HSN 8504/8518 at 18%; dry fruits HSN 0802 at 5–12%. Ask for an HSN-wise invoice — a single-line invoice makes reconciliation and audit painful.
Input tax credit is blocked. Section 17(5)(h) of the CGST Act blocks ITC on goods disposed of by way of gift. Budget the GST as a cost, not a recoverable. The exception is branded merchandise supplied under a contractual obligation, which is a narrow and contested reading — take a view with your tax advisor.
Section 194R. A 10% TDS obligation applies to benefits or perquisites given in the course of business to non-employees — clients, distributors, influencers — where the aggregate exceeds ₹20,000 in a year. It does not apply to employee gifting, which is governed by the perquisite rules above.
Documentation. Keep a PO, HSN-wise tax invoice, e-way bill for interstate movement, recipient list with values, and a delivery POD file. That set clears an internal audit without follow-up questions.
How to run a bulk office gifting order without a last-minute scramble
Weeks 1–2 — brief and budget. Fix headcount, occasion, per-head budget and delivery model (office bulk versus individual home delivery). Get finance to confirm the per-employee running total against the ₹5,000 ceiling.
Week 2 — shortlist and samples. Ask for two or three curated options at your budget and get physical samples. Photographs hide stitching, glaze and weight. Never approve a 2,000-piece order from a render.
Week 3 — artwork and sizes. Freeze vector artwork (AI/EPS/PDF), decide branding method (screen print, embroidery, laser engraving, UV print), and — for apparel — run a size-collection form. A 3D mockup approval avoids the most expensive category of rework.
Weeks 4–6 — production and QC. Standard lead time is 10–18 working days with branding; add a week for custom boxes or festival peaks. Insist on a pre-dispatch QC sample from the production lot, not the sample lot.
Week 6–7 — dispatch and tracking. Provide a clean address file with pin codes and phone numbers. Address quality, not courier capability, is what drives failed deliveries. Expect a small percentage of RTOs and plan a re-dispatch buffer.

Common mistakes, and what to do instead
Buying by price per unit instead of use per unit. A ₹90 item nobody uses costs more than a ₹450 bottle carried daily. Judge on cost per month of visible use.
One size fits all apparel. Order a full XS–3XL run against a collected size sheet, or expect a third of the order to go unworn.
Overbranding. Keep the logo under about 10% of the visible surface, single colour, on an edge or base.
